This is a full-time, permanent position based in Mexico City (CDMX). The role operates under a hybrid model, with regular in-office presence in Mexico City and occasional field presence as needed.

Purpose of the Position
Serve as the operational and administrative backbone of Reurbano’s growing multi-entity platform, acting as a high-trust internal service partner across founders, project managers, and internal teams. Build and maintain the administrative and operational systems that ensure the company runs with accuracy, discipline, and visibility so critical processes execute reliably, risks surface early, and founders are not the default backstop for routine operations.
Key Responsibilities
Run disciplined back-office operations across a multi-entity platform, serving as a trusted internal partner to project managers and internal teams to create repeatable systems, coordinate priorities, solve operational blockers, and ensure reliable execution across projects, entities, accounts, vendors, and recurring obligations.
Deliver high-quality internal service across multiple stakeholders and projects, ensuring timely support, clear communication, and dependable operational follow-through.
Own payment and invoice workflow discipline: coordinate approvals, invoice tracking, routine payments, and near-term cash visibility to avoid surprises.
Contract routing and document control: maintain versioning, structured filing, retrievability, and information hygiene with strong documentation standards and AI-assisted searchability.
Onboarding, offboarding, vendor and contractor operations: ensure agreements, role logistics, and follow-through are clean, documented, and reliable.
Workflow improvement and operating visibility: implement tools, checklists, dashboards, and lightweight reporting to reduce founder dependency and increase execution reliability.
Entity governance and admin compliance hygiene: track obligations, key dates, signatories, and recurring requirements in coordination with external legal and accounting partners.
Requirements and competences to work with us
Education
No specific degree required. Relevant backgrounds include Business Administration, Finance, Law, Industrial Engineering, or related fields. What matters most is demonstrated operational ownership and systems-building capability.
Experience
4 to 8 years in operations, administration, finance-adjacent execution, or a related field.
Proven ability to build and run back-office systems across multiple entities, projects, or workstreams simultaneously.
Track record of owning payment workflows, contract management, vendor coordination, and document control with rigor and reliability.
Experience reducing founder or leadership dependency by creating repeatable processes and clear operational visibility.
Familiarity with Mexican regulatory and compliance requirements: IMSS, SAT, entity governance, and basic labor law.
Experience with project management tools and cloud-based filing systems. Familiarity with AI-assisted workflows (Notion, ClickUp, Google Drive, or similar).
Prior experience in real estate development, property operations, or other multi-entity asset-heavy environments is strongly preferred.
