Purpose of the Position
Under the supervision of the Business Development Director, the Administrative Assistant supports Project Managers in preparing qualitative tender submissions and managing the administrative aspects of contracts. They also play an active role in Baastel’s information management by maintaining databases and enhancing internal tools.
Key Responsibilities
- Optimizing the management of project and consultant-related information by preparing the necessary administrative documents and proactively updating databases.
- Supporting Project Managers in business development by preparing the administrative aspects of project proposals.
- Ensuring effective administrative management of projects by managing the administrative launch of projects, tracking billing and expenses, and participating in the project closure process.
Requirements and competences to work with us
Education
- Degree in administration, secretarial studies, or management — ideally a bachelor's degree.
Experience
- 1 to 3 years of experience in administrative management, executive assistance, or a similar role.
- Previous experience in administrative project management would be an asset.
Knowledge and Skills
- Proficiency in English and French, both written and spoken.
- Proficiency in Office software: Word formatting, good knowledge of Excel (formulas, formatting, and tracking).
- Comfortable with numbers.
- Strong organizational skills.
