- Location: La Paz, Baja California Sur, Mexico
- Work Mode: Primarily in-person, with limited hybrid flexibility (approx. 1 remote day per week, subject to agreement)
- Relocation: Candidates must already live in—or be willing to relocate to—La Paz. Relocation support may be offered on a case-by-case basis.

Purpose of the Position
In this role, you’ll report directly to the Managing Director of the Collective in Baja California Sur and assist with all administrative affairs, strategic management of the director’s calendar, and provide administrative support to iAlumbra Collective leadership with regards to Collective initiatives. You'll also handle office management and light personal assistant duties for C-level executives and senior team members.
This position’s responsibilities may change over time; hence the ideal candidate is someone who's adaptable, self-driven, and hungry to learn the many different aspects of running a dynamic business. This is a full-time, 48-hour work-week role.
Key Responsibilities
ESSENTIAL FUNCTIONS
. Manage the Managing Director’s Calendar: Oversee the Managing Director’s schedule, ensuring that appointments, meetings, and travel arrangements are efficiently planned and communicated. Organize travel itineraries and logistics, ensuring smooth transitions between meetings and locations. Generate detailed minutes for meetings attended to support follow-up actions and inform key stakeholders.
. Log meeting hours director has with iAlumbra principle focused on land operations on a weekly basis.
. Organize iAlumbra Collective executive leadership team meetings and events as part of executive assistant duties.
. Liaise with Internal and External Stakeholders: screen incoming calls, emails, and other communications on behalf of the Managing Director, routing them appropriately. Maintain a professional and welcoming demeanor, ensuring stakeholders feel heard and valued. Regularly update the leadership team and steering committees on relevant developments and priorities.
. Coordinate Leadership Team Engagements: Act as a conduit between the Managing Director and the iAlumbra leadership team, ensuring that the calendar reflects regular updates and coordination of iAlumbra Collective meetings with iAlumbra’s key leaders on a weekly basis. Facilitate seamless communication across leadership teams, ensuring that all stakeholders are aligned.
. Guest and Visitor Management: Welcome guests and facilitate their interaction with the iAlumbra leadership, ensuring they are well-informed and comfortable. Coordinate logistics for external visitors and partners, ensuring a positive and professional experience that aligns with iAlumbra’s values.
. Organize Leadership Team Meetings & Events: Coordinate and manage the scheduling of iAlumbra Collective executive leadership meetings, including preparing agendas, distributing meeting materials in advance, and ensuring follow-up on actionable items. Ensure the meetings run smoothly and efficiently, focusing on clear communication and decision-making.
. Confidentiality & Professionalism: Maintain strict confidentiality regarding all sensitive information shared within the iAlumbra Collective. Represent the organization with professionalism in all interactions, whether internal or external, always upholding iAlumbra’s values of integrity and transparency.
. Effective Communication & Collaboration: Foster a positive and productive atmosphere of communication with key stakeholders through phone, email, and in-person interactions. Engage with both leadership and steering committee members to anticipate needs, provide updates, and facilitate collaborative decision-making.
. Expense Tracking & Financial Support: Track and manage office expenses, including overseeing the reconciliation of the Managing Director’s credit card expenses on a timely basis. Collaborate with the finance team to ensure the accurate and efficient processing of financial documentation, helping to maintain a clear record for budget management.
. Proactive Problem-Solving: Demonstrate proactive problem-solving skills, addressing issues as they arise and ensuring a swift and efficient resolution. Show adaptability and the ability to work independently, using sound judgment to handle unexpected challenges.
. Ad-Hoc Administrative Support: Provide administrative support as needed for various projects, team initiatives, and steering committee activities. This includes organizing special events, preparing documentation, and coordinating logistics for high-priority initiatives within the leadership team.
ENHANCED COLLABORATION FUNCTIONS
. Information Sharing & Reporting: Act as a liaison to ensure that critical updates, reports, and communications are distributed efficiently across the leadership team and committees. Ensure that all key decision-makers are informed and have access to relevant information in a timely manner
. Streamline Internal Communication: Implement tools and strategies that enhance internal collaboration, such as shared digital calendars, collaborative documents, and project management platforms. Foster a culture of open communication where feedback is encouraged, and cross-team collaboration is optimized
Requirements and competences to work with us
Education
- Bachelor’s degree or work equivalent
Experience
- A minimum of 7 years of office experience and executive assistant experience
Experience with internal communication platforms, project management systems, and CRM systems. - Proficient in Microsoft Office (Word, Excel, PowerPoint, and Outlook) as well as social media web platforms such as Facebook and Instagram
- Experience in working for a family office is a plus
Competencies
- Strong interpersonal, relationship-building, and written and oral communication skills for liaising with customers, employees, and other key stakeholders
- Fluency in Spanish and English is crucial, enabling seamless communication with clients, colleagues, and executives
- Detail and solutions-oriented with a solid work ethic, adaptability, and initiative
